When going live, we always start with the connection to Booking.com as this is the most complex channel which needs a bit of your attention in order to be able to connect well. For security reasons, we may not help you as XML partner (Channel Manager) with the set-up of your account. In order to set up the connection correctly, there are a few steps that need to be taken: 

Step 1: Calendar view

Booking.com has two different views of your calendar which may depend on how your Extranet is set up. If you click on the tab Rates & Availability, you should see a sub-menu with several menu items such as Rate Categories, Open/Close Room and Calendar. Don't worry if it does not look exactly like this example, but the mentioned menu-items should definitely be there. 



If the sub-menu shows the name of your property or several of your properties, you have the simplified version of the Booking.com Extranet which needs to be upgraded. No worries. This is easily done. 

Upgrade your account

Click on one of your properties and visit the calendar. Here you have the option to change your calendar settings. Switch to the list view. That's it.

Step 2: Rate Categories

There is a difference how to set up the rate categories for rooms that have a maximum occupancy of 2 guests and room types for more than two guests. This is very important to set up right so that we can make the connection. 

Rate Categories for Rooms with max. 2 guests

These rate categories are very easy to set up. Just set up a rate such as Standard Rate**,** Rate incl. Breakfast, Non-Refundable, etc. Select to manage your rates manually and connect the room types that have a max. occupancy of 2 guests. Now you only need to select the policy and add (if you want) a meal plan. Save your rate type. 

You can add several rate types to a room type. A good example would be a rate category incl. breakfast and one without breakfast. 



Rate Categories for Rooms with 3 guests & more

If you have a room type that accommodates more that 2 guests, you need to handle the rate categories differently. It is a bit more work, but will be worth the effort. 

For each occupancy you need to set up rate categories even though the price is the same for all of them. Here is an example: 



Important: Remove derived prices

In Booking.com you have the option to add derived/dependant prices. Booking will then automatically calculate a discount percentage or amount based on another rate category. As these prices are actually dependent, RoomRaccoon cannot update these rates which will lead to problems if such a rate type is booked. 

If you wish to have i.e. non-refundable rates, then just add a new rate category and call it Non-Refundable. Set up a non-refundable rate up in your RoomRaccoon account as well and then we can simply connect the two. 

You easily recognise a derived rate in Booking if there is for example a blue -10% placed next to the name of the rate category. Simply delete these rates. No worries about bookings that you have in the future. They still will remain unchanged.


Step 3: Setting Occupancy in the Calendar

Now we have our new rate categories, we need to make sure that they are bookable for the right number of guests. Navigate in your Booking.com Extranet to Rates & Availability --> Calendar. Click on the first rate type connected to a room type to open the drop down menu. Also here is a major difference in how we handle room types that hold max. 2 guests and room types that are meant for more than 2 guests.

The only thing you really have to make sure is that Single Use is enabled. In some cases, there is also here derived pricing enables which will automatically fill in the single use rates. But these are actually not independent rates which can be managed via RoomRaccoon and must be disables.

If your set-up is incorrect, you will need to call Booking.com in order to make these changes. Unfortunately, you cannot set this up yourself. 

In some cases, the Booking agent helping you will tell you that there is no option to enable Singel Use. In this case, ask the agent to disable RLO (rate level occupancy) and by doing so the agent will be able to tick the box of Single Use again. And... he will be impressed by your knowledge.

Correct set-up for room types with more than 3 guests

Earlier, we have set up the specific rate categories for 1 guest, 2 guests, 3 guests, 4 guests etc. These now need to be defined meaning that the RLO (rate level occupancy) actually needs to be defined. This is in fact the opposite of how you should set up the rates for rooms with a maximum occupancy of 2 guests. 

Also these settings, you cannot do by yourself and need the assistance of a Booking.com agent. 

Ask the agent to define the rate level occupancy for these rates (only). Tell him/her to set the occupancy for the rate called 1 guest to 1, 2 guests to 2, 3 guests to 3 etc. They will get the point. 

If set up correctly, you will see an icon next to the price just like this:



All set? Great job!

Now we can make the request for a connection. No worries. We are not live yet, but RoomRaccoon now is enabled to see, match and connect your room & rate types. We also will be able to import all future bookings from your Extranet. 

Connection Request

Navigate to the Account menu item in your Booking.com Extranet. Here you can select the menu item Channel Manager.



Here you can search for an IT provider in a little search field. Type RoomRaccoon and select us

Step 1: you should choose a full connection, two way
Step 2: no need to fill in a Provider ID, just accept the terms & conditions
Step 3: you are done! Please do not click on the rest button :)
