How Do I Set Up My Rooms?

After setting up your room categories in your RoomRaccoon PMS for your hotel or B&B, you will be ready to add some rooms. If you want a room to be bookable via your RoomRaccoon Booking Engine, it needs to be assigned to a room type.

Add a room

Click on the Room Type Icon

Click on add a new room and select the Room Tab.

Room Number

Room numbers influence the sorting order of rooms in your RoomRaccoon agenda yet it is not mandatory to use room numbers, simply fill in the field with a 0 to sort rooms at the top and 99 to sort them from the bottom this will sort the rooms alphabetically.


Give your room a descriptive name such as Blue Room, Lodge Suite or simply Double Room.
This is not only useful for the invoice, but the name shows on your agenda as well.
This makes things easy for you and your (new) colleges when a guest calls and you quickly need to give an answer.

Assign a room type

In the drop-down menu, you can choose a room type to assign your room to.
You can only assign one room type per room, which is important as we connect room types to booking channels.
A room always should only be bookable once!

Room type: none

In RoomRaccoon PMS it is also possible to not assign a room type.
This is a very useful feature for conference rooms, your bar, or any other bookable room that you do not want to offer via your RoomRaccoon Booking Engine.
If you do not assign a room type, you can still prepare invoices and the revenue is tracked in your reports. Yet, the room is excluded from your occupancy rate.

Good To Know!

The room doesn't have to be a room, even though we often speak of rooms, you can use unassigned 'rooms' for almost everything. It is absolutely a great feature of your RoomRaccoon PMS. Besides your conference room, why not also add your bikes, boats or use this extra field in your agenda to have some space for notes. Think about adding unassigned 'rooms' to keep track of in your agenda for the events in your city, do your staff planning or add a field for your room-service schedule that you need in the morning.
